Payments and Scholarships

There has been a continued effort to keep the Winter Term in Service (WTIS) project costs low; however, due to the recent increases in energy costs and currency fluctuation, this is an ongoing challenge. The price listed on the site descriptions are estimates and could increase up to an additional 10-20% of the total trip cost once the final cost is determined.  The published trip cost includes all transportation beginning and ending at the Hartman House, meals (with the exception of those while in transit on the first and last day of travel), all lodging, international emergency insurance, on-campus components of the program, and visas.  The cost of each trip does not include passport fees, immunizations, and meals on the first and last day of travel while in transit, entrance or exit taxes (students will be informed of the exact cost in the fall) and transportation to the Hartman House in early January.

Payment Schedule:

  • July 1: $100 non-refundable/ non-transferable deposit charged to student account
  • August 1: $150 non-refundable/non-transferable deposit charged to student account
  • September: Final project costs published (subject to change due to fuel surcharges and currency fluctuations)
  • September 24: Student financial support awards announced
  • September 30: Last day to drop with no additional financial obligation
  • October 1:
    • Students participating on January projects charged full project costs
    • After October 1, students are responsible for any non-refundable funds committed on their behalf
    • Refunds for early withdrawal not determined until after projects return in spring semester

Student participants must pay the balance in full before departure in January in order to participate in the 2009 WTIS projects. (See the Cash Receipts Office in the Administration Building for further information on payments.)

Scholarships

The WTIS Program has funds available each year to provide scholarships in the way of financial support to students participating in the program.  There are two types of financial support available: the Lamar Scholarship, which is not based on financial need and the need-based financial support.  Students apply for both by submitting an application to the Winter Term in Service Office. For the Lamar Scholarship, students may submit an essay application and award recipients will be selected by a committee. Students will be awarded and notified during September 2008; the same time frame as need-based scholarships. 

Need-based scholarships are based primarily on the financial need of the applicant. Other criteria, including previous Winter Term support awards, may be considered in the determination of the award recipients. All applicants must have a current FAFSA on file with the University’s Financial Aid Office, as well as completed the WTIS Scholarship application.  WTIS will use need codes created by the Financial Aid Office. The need codes range from 6 (very high need) to 0 (no need or no FAFSA forms on file). Students may view their Winter Term need codes on student e-services, at the "financial aid award" link.

Please note that all awards are considered taxable income, and DePauw will provide each recipient with a 1099 tax form, in compliance with federal tax laws, at the end of the 2008 year. International students will receive an equivalent tax reporting form.

Award monies are expected to be applied only to project-related expenses. Award recipients participating in WTIS projects will have their award amount automatically applied toward the project cost, and will therefore pay a reduced project amount.
