Updates on the Workday Project

Work continues on the Workday Project. The Project Team is deeply engaged in end-to-end testing. The training team is fine-tuning preparation for campus orientation and training that will begin later in the summer. And the Workday Liaisons are, well, liaising with their various stakeholders to share information, answer questions, and gather feedback to inform the project. In the meantime, here’s an FAQ that you might find helpful:

What is Workday and what systems will it replace?
Workday is a cloud-hosted ERP (enterprise resource planning) system for managing the activities and data for human resources, payroll, purchasing, finance, and (ultimately) student records at the university. DePauw’s Workday implementation is a multi-year project with two phases:

Phase One: Workday Platform will go online in October 2024. Platform functionality will include human resources, payroll, purchasing, finance, and it will replace the following systems this is not an exhaustive list):

End-to-End Testing

Workday consultants were on campus last week, working with DePauw to complete end-to-end testing. End-to-end testing is another set of tests within Workday, where subject matter experts in Human Resources, Finance, and the Business Office work through each process to validate that the data that has been imported is correct and that the system is working as it should be. Additionally, testing is conducted to validate that functionality and data are accurate in how the DePauw community will utilize Workday.

End-to-end testing is a pivotal and thorough part of the Workday implementation. Having just completed the data build validation, this testing rigorously confirms that the system configuration and associated data were converted correctly within Workday. Even the simplest process has multiple touchpoints, each of which is meticulously tested. Project Team Highlight - Teresa Dugan

Teresa DuganTeresa Dugan is a core team member of the Workday project. She serves as the Project Manager for the Workday implementation at DePauw University. Teresa has been crucial in coordinating the implementation, which includes configuration of the tenant, testing the configuration, integrations with other systems, and ensuring the project stays on schedule. Her expertise has been invaluable in the ongoing dialogue.  Here is a little about Teresa:

Workday at DePauw is about making our daily lives more efficient as we work to align our processes with best practices in higher education. Bringing Human Resources (including payroll) and Finance into one system means our reporting will be easier and more consistent, which is exciting.

Beyond my work at DePauw, I'm really into historic homes. My husband, Ron, shares this passion with me. In 1998, we became the proud owners of an 1878 Italianate Victorian house. It took us a whole year of hard work and love to restore it before we could finally call…

Dr. Spiegelberg, as the University Registrar, oversees and maintains student academic records and ensures they are accurate and secure. Dr. Spiegelberg has been instrumental in the implementation, testing, and dialogue with the Workday at DePauw implementation.  Here is a little about Dr. Spiegelberg:

DePauw University has been like a second home to me for the past twenty-two years. I am thrilled about implementing Workday because it will ensure more precise records without relying on manual data entry. This will free up more time to focus on what I am genuinely passionate about, guiding students, faculty, and staff through the intricacies of academic policies and graduation requirements.

When I'm not at DePauw, I unwind by playing a captivating board game or embarking on a long-distance cycling adventure.

Project Team Highlight - Jesse Hornaday

Jesse HornadayJesse Hornaday is a supporting project team member of the Workday project. As the Payment Services Specialist, Jesse has been instrumental in implementing, testing, and dialogue surrounding the financial components of the Workday implementation. Here is a little about Jesse:

When I am not at work, I am likely wrangling my incredible crew of seven—five biological and two bonus kids—all full of adventurous spirit! Together, we hit the trails for hikes, conquer campsites, and enjoy grilling and exploring the great outdoors. In addition to this, my husband and I co-run 2nd Shift Recovery, a vital support group for recovering addicts.

What excites me the most about Workday at DePauw is the increased automation. This capability has the potential to make our jobs so much easier. Less time spent on repetitive tasks means more time for what matters—supporting our students and colleagues.
