Workday Training, Open Labs, and Workday Resources

Workday Training and Open Labs

This week, we start our fourth week of Workday workshops, focusing on Purchasing and  Expenses and Recruiting for Staff (staff and student) Positions. Join us at one of the ongoing Open Lab sessions to ask questions and get help with Workday logins, mobile app setup, and Microsoft Authentication.

Managing student employees in Workday: Supervisors, Timekeepers and Recruiting Coordinators

As we prepare for the Workday launch, we wanted to share information with you about supervision of student employees.

To be a supervisor of student employees you must already hold a supervisor role for a regular employee.

Managing student employees in Workday: Supervisors, Timekeepers and Recruiting Coordinators:

In Workday, every person that has an employee that reports to them is considered a Supervisor.  Workday creates a Supervisory Organization for each supervisor. For managing student employees, there are two additional position types, as noted below: 

Student Employee management positions types:

  • Supervisor = Supervisor of record, responsible for managing student employees.

  • Timekeeper = Oversees and approves timecard, can act as student employee leader.

  • Recruiting Coordinator = Requests positions and completes requisitions for posting jobs on the Workday Student Job Board, This person does not have to be a Supervisor, i.e. the Timekeeper can also be assigned as…

Hourly Employee Time Card Entry begins September 16

September 16, 2024

On September 16, 2024, hourly employees begin submitting time entry into Workday for the September 15 - 28 pay period.

* Note: This does not include student employees. Student employees will begin submitting time entry into Workday starting on September 23.

Workday Transition from ADP and e-Services: Key Dates and Procedures

We are eagerly anticipating the upcoming launch of Workday at DePauw.  All employees will be transitioning to using Workday for certain functions, and we are excited to provide you with information and training to help you be successful.

Essential dates and procedures that go along with the go-live timeline as we prepare to transition from ADP and e-Services to Workday were provided to campus in an email on September 5, 2024. Workday Training Schedule for September 9 - 13

The Workday Training Dates list has been updated to include dates and information for workshops and open lab sessions scheduled for next week, September 9 - 13. 

Workshop topics for next week include:

  • Time Entry for Hourly Staff

  • Workday for Managers

Open Lab Sessions next week - for Workday and DePauw’s new 2-factor authentication

Open lab sessions will be held for DePauw faculty and staff to explore the Workday interface, ask questions, and set up DePauw’s new 2-factor single sign-on (SSO) using Microsoft Authenticator.

  • The new 2-factor SSO will replace Duo for logging into Workday and we strongly recommend that you complete this setup before the Workday go-live dates.

  • Please be sure to bring your cellphone and University laptop (if you have one) to the open lab session. If you do not have a laptop, there will be computers available for you to use.
