Updates on the Workday Project

June 26, 2024

Work continues on the Workday Project. The Project Team is deeply engaged in end-to-end testing. The training team is fine-tuning preparation for campus orientation and training that will begin later in the summer. And the Workday Liaisons are, well, liaising with their various stakeholders to share information, answer questions, and gather feedback to inform the project. In the meantime, here’s an FAQ that you might find helpful:

What is Workday and what systems will it replace?
Workday is a cloud-hosted ERP (enterprise resource planning) system for managing the activities and data for human resources, payroll, purchasing, finance, and (ultimately) student records at the university. DePauw’s Workday implementation is a multi-year project with two phases:

Phase One: Workday Platform will go online in October 2024. Platform functionality will include human resources, payroll, purchasing, finance, and it will replace the following systems this is not an exhaustive list):

  • ADP: Human Resources, Payroll and Time Cards, Staff and Student Employee Recruitment

  • e-Services: Financials, Accounts Payable, Purchase Orders, Commercial Card Reconciliation

  • Interfolio: Faculty Recruitment (but not faculty reviews)

Systems that will not be replaced by Workday in October:

  • CSGold / Salto - Meal Plans / Door Access

  • e-Services - Student records management, course registration, advising, degree tracking, etc.

  • Interfolio - Faculty Reviews

  • Millennium / iModules - Development and Alumni Relations

  • Papercut - Print Management System

  • PowerFAIDS - Student Financial Aid

  • Slate - Admissions

  • Terra Dotta - SEVIS tracking

  • Symplicity Products - Residence, Advocate (judicial), Accommodate (ADA)

  • Transact (formerly Cashnet) - Payment and credit card payment portal

Phase Two: Workday Student will go online in August 2026 and will include student records management, course registration, advising, degree tracking, etc. At that time, the remaining functions in e-Services will be replaced by Workday.
